Site Assistant Program Manager

Reports to: Regional Site Manager and Chief Operating Officer

The primary function of the Site Assistant Program Manager will be accountable directly to 360 Clinic leadership. The Site Assistant Program Manager will be responsible for ensuring that in providing testing for COVID-19 for patients and community members, all 360 Clinic site follow all approved policy, procedures, and processes to ensure a high quality, timely and patient centered service and experience. This position is responsible for patient que monitor for community testing as well as assist the Regional Site Manager. 

Job Responsibilities

  • Oversee the start-up and general operations of COVID-19 testing initiatives at 360 Clinic sites and any other testing locations sponsored by COVID-19. 

  • Schedules staff to ensure sufficient coverage. Works with human resources and volunteer coordinator on scheduling volunteer. 

  • Coordinates test kit supply with LabCorp, including providing daily updates on tests performed, remaining inventory. 

  • Ensures PPE is available and all staff and patients are following current PPE use guidelines and 360 Clinic policy, procedures and processes.  

  • Communicates regularly with health operations and clinical team to ensure testing is connected to center operations and workflows and transfer of patient, testing, and budget data are properly captured. 

  • Meets with supervisees regularly and provides ongoing feedback and support including opportunities for professional development

  • Approves supervisees’ time sheets per the established payroll deadlines.

  • Complies with and helps enforce standard organizational policies and procedures as described in 360 clinic toolbox including but not limited to employee handbook and 360 clinic handbook. 

  • Promotes the “one team” culture through participating in quarterly culture initiatives and implementing team building activities or creating other opportunities that promote a positive workplace culture. 

  • Maintains inventory and purchasing of needed supplies and equipment

  • Other duties as requested by Management.

Skills and Qualifications:

  • BS/MA Degree 

  • Three years supervisory experience required. 

  • Experience with starting up new programs required. 

  • Experience with working with under-resourced populations

  • Strong organizational and problem-solving skills required.

  • Experience with health services operations preferred. 

  • Ability to work on site and travel between sites required. 

  • Proficiency in MS office and patient management software
